IGBot gives you multiple ways to track your automation performance. From your main dashboard overview to detailed activity logs and link analytics, you have all the data you need to optimize your DM automation strategy.
In this guide, we'll walk through each section of the IGBot portal and show you how to use the data to get better results.
The Main Dashboard
When you log into IGBot, your dashboard gives you a quick health check of your automation activity with four key metrics:
Total Posts
The number of Instagram posts synced to your IGBot account. Click "Sync Instagram Posts" to pull in your latest content.
Active Automations
How many automations are currently running. Each active automation monitors a specific post and sends DMs when matching comments are detected.
Messages (This Week)
The number of DMs successfully sent in the past 7 days. This is your primary volume metric showing how many people you're reaching through automation.
Success Rate
The percentage of DM attempts that were delivered successfully. A healthy success rate is typically 90% or higher.
Recent Activity
Below the stats, you'll see your most recent automation activity - the last few DMs sent, showing who received them and whether they were delivered successfully. This gives you a quick pulse check without diving into the full logs.
Quick Actions
The dashboard includes shortcuts to common tasks:
- Manage Posts: Go to your posts list to set up new automations
- Sync Instagram Posts: Pull in your latest Instagram content
- View Activity Logs: See detailed records of all automation activity
Activity Logs: The Detailed View
The Logs page is where you get the full picture of your automation activity. Every DM attempt is recorded here with complete details.
Log Stats
At the top of the Logs page, you'll see summary stats that you can filter by time range:
- Total Messages: All DM attempts in the selected period
- Sent Successfully: DMs that were delivered
- Failed: DMs that couldn't be delivered
- Success Rate: Percentage of successful deliveries
Time Range Filters
You can filter your log stats by:
- Today: Activity from the current day
- This Week: Last 7 days
- This Month: Last 30 days
- This Year: Last 365 days
- All Time: Your complete history
Searching and Filtering Logs
The logs table lets you search and filter to find specific activity:
- Search by Post ID: Find all activity for a specific post
- Search by @username: Find all DMs sent to a specific user
- Filter by Status: Show only sent, only failed, or all messages
Understanding Log Details
Click on any log entry to see the full details:
- Post ID: Which post triggered the automation
- Recipient: The Instagram user who received the DM
- Comment: What they commented that triggered the automation
- Message Sent: The actual DM content that was sent
- Link Sent: Any link included in the DM
- Status: Whether it was sent successfully
- Error: If failed, what went wrong
Status types: "Sent" means the DM was delivered. "Sent + Replied" means both the DM and a public comment reply were sent. "Failed" means the DM couldn't be delivered, usually due to the user's privacy settings.
Analytics: Link Click Tracking
The Analytics page focuses specifically on link performance - how many links you've sent and how many were clicked.
Link Stats
- Links Sent: Total number of links delivered via DM
- Total Clicks: How many times your links were clicked
- Click Rate: Percentage of sent links that received clicks
Period Selection
Switch between time periods to analyze your link performance:
- Today: Current day's activity
- This Week: Week to date
- Month to Date: Current month's performance
- Year to Date: Full year overview
Top Performing Links
The table shows your links ranked by performance, including which post each link was associated with and when it was last clicked. Use this to identify which content and offers resonate most with your audience.
Why Click Tracking Matters
Click data tells you which links and offers drive the most engagement. A high click rate means your DM content is compelling and relevant. A low click rate might mean your message needs work, or your offer doesn't match what your audience wants.
Compare click rates across different posts and offers to discover what resonates best with your followers.
Contacts: Your Audience CRM
The Contacts page gives you a CRM-style view of everyone who has interacted with your automations. This is where you can organize and manage your audience relationships.
Contact Information
For each contact, you can see:
- Username: Their Instagram handle
- First Interaction: When they first engaged with your automation
- Last Interaction: Most recent activity
- Messages Sent: Total DMs they've received from you
- Messages Received: Messages they've sent back to you
Contact Stats
The Contacts page shows summary statistics:
- Total Contacts: Everyone who has received a DM
- New This Week: Contacts added in the last 7 days
- Active Contacts: Those who interacted in the last 30 days
- Opted Out: Contacts who have opted out of messages
Tags and Notes
You can add custom tags and notes to any contact for organization:
- Tags: Label contacts by interest, product, or status (e.g., "interested", "purchased", "VIP")
- Notes: Add freeform notes about interactions or follow-ups
- Opt-out: Mark contacts who shouldn't receive future automated messages
Use tags to segment your contacts. For example, tag everyone who commented on a specific product post, then you'll have a ready-made list for future promotions of that product.
Search and Filter
Find specific contacts by searching for their username, or filter by tag to see segmented groups. You can also sort by various fields like last interaction date or total messages.
Posts Page: Per-Post Performance
The Posts page shows all your synced Instagram posts with automation status for each. Here you can see at a glance which posts have active automations and how they're performing.
Each post card shows:
- Post thumbnail and caption preview
- Automation status (active, paused, or none)
- Link and click counts for that specific post
Putting It All Together
Here's a suggested workflow for using your IGBot data effectively:
- Daily: Check your Dashboard for a quick overview and any failed messages
- Weekly: Review the Logs page to spot patterns and the Analytics page to track link performance
- Monthly: Organize your Contacts with tags, review which posts performed best, and adjust your strategy
